We've teamed up with our good friend Holly Episkopou, a renowned destination wedding planner and founder of Wonderlust Events, to uncover the key differences between a wedding planner and a venue coordinator—and help you decide which one you need for your wedding.

The roles of a wedding planner and a venue event coordinator, whilst they may overlap at times, are fundamentally different and therefore offer distinct responsibilities for a couple planning their wedding.
A wedding planner is responsible for managing the entire wedding process from start to finish. They will help you find the perfect location and venue, as well as source suppliers not only for the wedding day itself but also for any pre- or post-wedding events, which may take place at different locations. Their goal is to bring your vision to life and ensure every detail aligns with your preferences.
The wedding planner works closely with you to design the complete wedding experience—from the ceremony to the reception and beyond. They handle supplier sourcing, negotiations, and management, ensuring your team of vendors works seamlessly on the big day. They will also create a detailed timeline, keeping everyone informed and on schedule.
On the day of the wedding, the planner oversees the event, ensuring everything is set up as planned, coordinating vendors, and ensuring the timeline is followed. They manage any last-minute adjustments and work with the team to ensure a smooth flow throughout the day. Additionally, wedding planners provide emotional support by getting to know your preferences, offering advice, and helping you navigate any stress.
Another key responsibility of a wedding planner is managing the wedding budget, ensuring expenses stay on track and helping you get the most value for your investment throughout the planning process.
A venue coordinator, or event coordinator based at the venue, works for the venue itself rather than directly for the couple. Their primary responsibility is to ensure everything aligns with the venue’s policies and requirements. While they may provide a list of preferred suppliers, they typically do not handle bookings or plan the wedding itself.
If a venue coordinator is present on the wedding day, their role is to oversee the venue’s operations and ensure everything runs smoothly from the venue’s perspective. They are experts in the venue’s operations, which makes them invaluable in managing logistics within the space. However, their involvement with external suppliers is generally limited, as they are not responsible for managing or coordinating vendors who are not part of the venue’s offerings.
A venue coordinator is most involved during the booking process, where they will answer any questions and clarify details about the venue. As the wedding day approaches, they typically participate in a final walkthrough to ensure everything is set up correctly from the venue’s standpoint, ensuring all venue-related logistics are in order.
Wedding planners often find it extremely helpful to collaborate with venue coordinators, as the latter’s in-depth knowledge of the venue can greatly support the planner’s overall management of the event. Together, these two professionals create a seamless experience for the couple, with the wedding planner managing broader logistics and external suppliers, while the venue coordinator ensures the venue’s requirements and setup are met.
At what stage in the wedding planning process should couples engage a wedding planner versus an event coordinator?
You can hire a wedding planner at any point in your wedding journey, but in our opinion, the best time to engage one is right at the start. This allows them to guide you through the entire process, shaping and refining your vision while ensuring every detail aligns with your needs and preferences.
Many couples reach out to us because they are unsure where to begin, especially when it comes to selecting a location or venue. We start by helping them narrow down their options, understanding what they’re looking for in a venue, and getting a sense of their overall style and specific requirements. This collaborative approach ensures that the venue selection and all subsequent planning decisions align with their vision from the very beginning.
A venue event coordinator, on the other hand, is typically engaged once you have finalised your venue, and only if the venue offers this service.
Examples of when a wedding planner is more beneficial than a venue coordinator (and vice versa):
- Task: A client wants a beautifully designed wedding but has no idea what they are looking for or how to achieve it.A wedding planner is the ideal fit here, as they focus heavily on design. A venue coordinator will not typically get involved in this aspect.
- Situation: A couple knows where they want to get married and which suppliers they wish to use but need help with venue-specific details. In this case, a venue event coordinator would be the better fit, as their expertise lies in managing the venue's logistics.
Advice for couples deciding whether to hire a wedding planner, an event coordinator, or both:
We highly recommend choosing a wedding planner if you’re looking for full-service planning support from start to finish. Wedding planners are ideal for couples who need help with everything—from shaping their vision to executing every detail. If you’re feeling overwhelmed by the planning process, a wedding planner can significantly reduce stress and make the journey enjoyable.
If you prefer to take charge of planning your wedding yourself or simply need assistance ensuring the day runs smoothly, a venue event coordinator is an excellent choice. Venue coordinators are experts in managing the logistics within the venue, ensuring the event adheres to the venue's requirements.
That said, having both a wedding planner and a venue event coordinator can work exceptionally well. These roles complement each other, bringing specialised knowledge to different aspects of the planning process. A wedding planner manages broader logistics and external suppliers, while a venue coordinator ensures everything runs seamlessly from the venue’s perspective.
